Job Summary

The Executive Administrative Assistant will perform a variety of administrative and clerical tasks to support Executive members, assisting in daily office needs, and managing the company's general administrative activities.

The Executive Administrative Assistant supports the Executive Leadership team. This is an exciting opportunity for someone who can take this new role for the Executive team to facilitate heavy calendaring, administrative tasks, weekly/monthly reports, and organizing events and special projects. The Executive Administrative Assistant will be a highly driven individual with a strong initiative to coordinate all the moving parts in a fast-paced, growing company.


Essential Duties and Responsibilities

Handle logistics for executive meetings: room scheduling, equipment, preparation of materials, note-taking, agenda, summaries of action items, etc.

Compile and prepare information and material for department meetings and special projects

Organize and schedule appointments

Prepare for and hosts visitors

Assist in the preparation of reports

Act as the point of contact for clients and vendors

Organize, manage, and maintain administrative processes for the Executive Team

Coordinate and integrate external and internal Executive Team activities

Prepare and edit correspondence, communications, presentations, agendas, and other documents

Manage and maintain Executives' schedules, appointments, and travel arrangements

Support members of the Executive team

Perform other necessary functions as assigned by Executive members


Effective social interaction, verbal and written communication and organizational skills

Ability to perform a variety of tasks efficiently

Strong analytical skills, detail oriented, self-motivated, and proactive

High ethical standards and commitment to keep information confidential

Fully proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook)

Project and task management skills

Ability to work with team members at all levels, up to and including C level

Excellent oral and written communication skills

Knowledge of the direct sales industry and marketing experience desirable

Excellent problem-solving skills and decision-making abilities

Ability to learn quickly and to change direction on short notice

Type 55+ WPM

Willingness to travel, if required

Education and Experience

Earning a Bachelor's Degree in Business or related field referred

Experience in an Executive Administrative Assistant role

Or a combination of education and relevant work experience
