(CPO) at Filevine is a voting member of the board of directors and
is at the center of product strategy, execution, and innovation for
a high-growth SaaS company. This project management-oriented
Executive Assistant role combines strategic support,
cross-functional collaboration, and operational excellence to drive
the success of the CPO's initiatives.As the CPO's right-hand, you
will have a front-row seat to the operations and decision-making of
the business. You will provide administrative support for critical
priorities, ensure seamless workflows, and act as the central point
of coordination for the product org. This role is ideal for a
proactive professional who thrives in dynamic environments, excels
at managing multiple workstreams, and has a talent for keeping
projects-and people-on track.Responsibilities
- Streamline the CPO's Priorities: Manage calendars, meetings,
and email workflows to focus attention on high-impact
initiatives.
- Drive Meeting Outcomes: Attend all CPO meetings, document key
discussions, and identify actionable next steps. Provide insights,
flag gaps, and make recommendations to maintain alignment and
momentum.
- Orchestrate Projects and Tasks: Maintain exceptional
organizational systems for scheduling, task delegation, and
follow-up to ensure deliverables are completed on time.
- Monitor Communications: Manage the CPO's inbox, triaging
emails, flagging priorities, and enabling swift responses. Use
judgment to escalate or defer tasks appropriately.
- Collaborate Cross-Functionally: Act as a liaison between the
CPO and stakeholders across product, design, engineering, and
go-to-market teams. Facilitate smooth communication and alignment
on shared goals.
- Ensure Execution Excellence: Track key projects, provide status
updates, and help identify risks or roadblocks to ensure on-time
delivery.
- Analyze and Synthesize Data: Occasionally assist with data
analysis to inform decision-making, focusing on actionable
insights.
- Represent the Product Org: Serve as the first point of contact
for external interactions with the product team, presenting
yourself with professionalism and polish.
- Anticipate Needs: Stay one step ahead by predicting the CPO's
requirements and proactively addressing them.Qualifications
